 Subject:          Weekly Activity Report – June 03, 2019

 

Facility Projects:

  1. Kuentz Liberty Field Update: The Club funded Artificial Turf Replacement Project was completed on 5/20/19.  The Club-Funded Cantilever Shade Canopy footings and cantilever were completed on 5/31/19.  Shade canopy installation and completion of this project is tentatively set for July 8.

 

  1. RHJ Small Dog Park Update: Masonry Block Wall is in progress.  Form settings and preparation for concrete sidewalks and Canopy Pads are in progress.  This project is approximately 50% complete.

 

  1. Construction on the Beardsley Card Rooms 1, 2, 3 &4 is scheduled for closure beginning 6/17/19 as we begin working on our Space Utilization Plans./renovation Most of the work on this project will be done in-house.

 

Facility Maintenance:

  1. We are applying a new surface to the concrete slab at the large Dog Park to rough it up and prevent slipping. The current surface became slippery when wet.

 

  1. Facility Maintenance Staff rewired an electrical circuit for the kiln at the Clay Club.

 

  1. The Metal Club is now able to powder coat their own products.

 

  1. We received the screws we were waiting on to complete the skirting repair for the last Beardsley Ramada.

 

  1. The old monument signs at the Beardsley Facility are finally gone!

 

  1. A very well-qualified plumber joins our team here in Facility Maintenance. Please welcome Michael Monaco to the Rec. Centers of Sun City West.

 

  1. The “You are Here” stickers have come in and will be applied to the new locator signs/maps that have been put up throughout the Rec. Centers.

 

 

Recreation Maintenance:  (David)

  1. We are reviewing three bids for Housekeeping vendors to see if we can improve on cost or performance.

 

  1. We continue preparations for the relocation of clubs and storage of their equipment as we begin our Space Utilization Plans.

 

  1. Fitness equipment for Palm Ridge Fitness Room has been ordered with an expected delivery date of June 24, 25. Palm Ridge will be closed for scheduled maintenance at that time which will allow us the time to reconfigure the layout of equipment at the Fitness Room.

 

 

Recreation Activities:  (Riley)

  1. Met with seven clubs on different issues over the last two weeks.

 

  1. Working with the Women’s Club on internal committee issues. Riley will be attending the Club’s next Board meeting.

 

  1. The Cribbage Club is working to arrange a food drive for the Salvation Army. This event will be advertised once the dates have been confirmed.

 

  1. Banner Health is planning a Toy Drive in July. We will put out collections boxes for those who would like to make a donation.  The items collected will go to Banner Health for children requiring emergency services.

 

 

Sports Pavilion:

  1. Our Sunday Special brought in $500.

 

  1. 60 bowlers have signed up for our new Tuesday night league.

 

  1. Revenue at the Sports Pavilion is up in May 2019 compared to the same time 2018.

 

  1. Memo’s Bistro signed off on the preliminary drawings for equipment layout for the installation of gas lines at the restaurant.

 

 

General Services:

  1. IT Dept. will start working on making Point of Sale fee changes approved in the FY19/20 Budget.

 

  1. We continue meeting with local agencies regarding transportation and autonomous vehicles.

 

  1. Our new Help Desk Rep., Mike Kohn continues working to improve the appearance and operation of our website with great results. There are some interesting things being developed for the site.

 

  1. Our next meeting regarding the 2020 Census will take place in September 2019. We are making plans for computers to be available at the R. H. Johnson Library for members to respond to the 2020 Census.

 

  1. All replacement and new IT equipment was ordered and will be in by June 30, 2019.

 

  1. The deadline for July’s issue of the Rec. Center News is Friday, June 7.

 

RHJ Library:

  1. Ravensburger’s 18,000 piece “Magical Bookcase” is this summer’s community puzzle. It is a highly detailed and colorful puzzle designed by Colin Thompson.  Look closely and one will find wacky objects, scenes and even houses! The fun begins at 9:30 a.m. on Wednesday, June 5 at the R. H. Johnson Library and continues during normal library hours (9 am to 4 pm, Tuesday through Saturday) until the puzzle is completed.  Residents may participate for as much or as little time as they wish.

 

  1. Now a summer tradition, the 2019 Summer Reading Club runs from Wednesday, May 29 through Saturday, September 7. Residents read for fun and prizes and they get to select what they wish to read.  All R. H. Johnson Library print books, eBooks, CD audiobooks, and digital audiobooks qualify.  In addition to drawings for a variety of fun prizes, those who participate a minimum of eight weeks will receive a coupon for one free $1 book at the Friends of the Library Book Sale on November 16.  For more information and to register, residents should stop by the Library.

 

  1. Our award-winning Virtual Reality program at the R. H. Johnson Library has expanded to additional days each month. There are three presentations per day on Tuesdays, Wednesdays and Fridays with immediate openings.  Also, guests of Rec. Card holders who are 18 years of age or older are now welcome.  Guests are charged the daily guest fee but there continues to be no charge for residents.  Available times each Tuesday, Wednesday and Friday are 9:15 am, 11:45  and 2:00 pm.  Each session is 90 minutes long and has the capacity for up to four participants for each time slot.  Reservations can be made in person in the Library’s Data Resource Center or by calling 623-544-6644.

 

  1. Young grandchildren and their families are invited to Summer Story Time at the Library at 10:00 am on Wednesdays, June 19 through July 31. All residents need is their Rec. Card and their family may enter the Library with them.  Different stories are read each week.  A kid-friendly craft project follows the stories with all  materials supplied.  Children not only get to keep their completed craft item but can also take home some fun library souvenirs such as bookmarks and stickers.

 

 

Village Store:

  1. Village Store Manager, Katie V. is working on the end of month financials for the Store.

 

 

Financial Services:

  1. Our new CFO is working on the approved Capital Projects List with Russ and Karl.

 

  1. Our Financial Accountant Laurie Wiggans will be retiring at the end of this month. Financial Analyst Karen Woods will take over Laurie’s responsibilities in the interim until a replacement is named.

 

  1. We will be reviewing the Reserve Study to determine if and when to conduct an update.

 

  1. Pete has asked staff to review 1,900 fixed asset line items by Friday to confirm whether they are still in service or not.

 

  1. All invoices should be turned in by the end of the week so the May end-of-month report can be completed.

 

  1. Staff is asked to remind all vendors to submit their invoices directly to the Accounting Department for payment.

 

Membership:

  1. Member Services has processed 157 APF Fees, less 13 refunds, which equals 144 APFs for the month of May vs 133 for the same time in 2018. We processed 1,107 APF Fees for FY 18/19 and 1,157 for FY 17/18.

 

  1. The housing market appears to have been slower than normal in January and February due to the cooler weather, however, those numbers were up a bit in April and May. We expect June to be a fairly good month as well.

 

 

Events Planning:

  1. Our July 4th Concert at Palm Ridge is SOLD OUT!

 

  1. Individual tickets are available now for our Summer Series, Kate and the Dream Band (7/2) and the Dry Heat Band (8/6).  All shows are at 3 and 7 pm at Palm Ridge.

 

  1. Check out our Sizzling Summer Series for June, July and August. Tickets are now on sale!  Shows are on various dates with two shows each day, 1 p.m. and 3 p.m.  Entertainment includes Cactus Clarinets (sold out), Country Crossroads (3 pm sold out), Dan McCorison, With a Little Help From My Friends and John Gamber.  Check the Box Office for dates and times.

 

 

Golf Operations:

  1. Golf revenue is up 2% and rounds are up 6% for the month of May 2019. We attribute this to the cooler weather in May.

 

  1. We met with Briarwood Country Club to make plans for joint tournaments on November 23, 2019 and another in April of 2020.

 

 

Human Resources:

  1. The “Stop the Bleeding” Tourniquet seminar that was atteneded was very educational and informative. The lessons learned at this seminar have already been put to the test in two separate incidents.

 

  1. The Automotive Restoration Club (ARC) will be hosting a Blood Drive in September 2019. More details will be provided as we get closer to the event.

 

  1. Staff is reminded to have employee evaluations completed and turned in to HR by June 10.

 

 

Management:

  1. We are having a consultant come out next week to perform an IT Audit which will involve various departments (IT, Accounting, Membership, POS).

 

  1. Staff has been working diligently to set up office space for the new CC&R Compliance Dept. We have also conducted interviews and selected three highly qualified individuals that will staff the Department.  Their start date is scheduled for June 17.  We have been busy gathering information and attending demonstrations of different CC&R software that is available for use and expect to make a decision on this in the next week or so.  Our Webmaster is in the process of creating a new web page on our website to house all CC&R forms/information.

 

  1. General Manager Bill Schwind will give another presentation on the latest update to our Guest Policy in the Lecture Hall at 1 pm on Wednesday, June 5.
