Subject:          Weekly Activity Report – July 8, 2019

Facility Projects:

  1. RHJ Small Dog Park Upgrade & New Cell Addition Update: All Dog Park fencing is complete.  Iron Fence Gates, Hardware and signage are in progress.  Todd Patty, Environmental Services Manager is currently installing landscaping and sod.  The Small Dog Park is scheduled to open July 29 after Facility Enhancement Sidewalks and Landscaping are completed.


  1. RHJ Facilities Enhancement Update – The Final Sidewalk Pour in front of the Small Dog Park and the Warranty Remove and Replace Project in front of the Tennis Facility entrance are scheduled for July 15 through July 20.


  1. Beardsley Card Room Renovation on Rooms 1, 2, 3 & 4 progress continues. Taping, mudding, sanding drywall and trim and painting are all in progress. Flooring installation begins July 29.


  1. Beardsley Recreation Center – General Energy Conversation – this Project started with Card Rooms 1, 2, 3, & 4. Accel Electric continues converting fluorescent lighting to LED panels.  The Agave Room and Miscellaneous Storage Rooms are in progress.  The entire Beardsley Recreation Center LED Lighting Conversion  is scheduled to be completed by July 31, 2019.


  1. The Beardsley Copper/Glass Room Countertops were completed July 1, 2019. Installation of new flooring is next.


  1. Please be aware that there will be interruptions in the R. H. Johnson Parking Lot in the latter part of July. From July 22 through July 23 work begins at the top of the parking lot from the Sports Pavilion all the way down to the shared driveway near Fry’s Grocery Store.  This area will not be accessible during this time.  We ask that you please observe all traffic signs avoid this area.


Facility Maintenance:

  1. The Wood Shop was closed today to allow Facility Maintenance access to perform some repairs and needed electrical work.


Recreation Maintenance:  (David)

  1. The Urban Walking Trail Guide was re-printed and the brochures are ready for pickup.


  1. Beardsley Pool was closed today for renovations.


  1. The Banner Health Toy Drive sponsored here at the Rec. Centers starts next week. We plan to set out collection boxes which includes locations at the R. H. Johnson Facility and the Sports Pavilion.


  1. This year’s Budget included a new vehicle for our Couriers use which allowed us to assign their old vehicle to the new CC&R Department to perform their field investigations.


  1. After the bidding and interview process, we have chosen Waxie – Eco Systems as our new housekeeping vendor for cleaning and chemical support.


Recreation Activities:  (Riley)

  1. Our CC&R Department formally started on July 1, 2019. CC&R Compliance Officers are busy answering phones, taking questions and have already started addressing and investigating complaints received.  Thanks go out to IT and the Recreation Department for setting up the IPADS and providing the vehicle for CC&R Dept. use.  As of Monday, July 8 there are 57 open cases were addressed in a 12 to 24 hour period.  The majority of these cases were weeds.  Things are going well with our software vendor SmartWebs and the CC&R mapping for Sun City West.  For more information on CC&R’s take a moment to check out our web page using this link: .


  1. We have heard comments from many members who are happy with the new Guest Policy regarding unaccompanied guests. Several members have gone on to Facebook to speak in favor of the policy.


Sports Pavilion:

  1. As of July 1, compared to same time last year: League revenue is up $7,155 and Open Play is up $13,848 with total Bowling Revenue up 4%.  Adult beverage sales are up an average of 35% with total Revenue at the Sports Pavilion up 6%.


  1. Our Sunday Special brought in $545.


  1. July 14 we are hosting an Over 50’s Tournament at Johnson Lanes.


  1. The Lona King Tournament that is scheduled for November 8, 9 and 10 will accept 150 bowlers. We currently have 75 registrations for this event and the spots are filling up fast!


Village Store:

  1. Village Store Summer hours for July are currently 9 a.m. to 1 p.m., Mon. – Fri. and the Store is closed in August, scheduled to reopen the day after Labor Day, Sept. 3rd.


  1. June sales at the Village Store are above last year’s numbers.


  1. We are doing a physical inventory of all items for sale in the Village Store.


 RHJ Library:

  1. On June 29 at 2:43 p.m., our puzzlers completed the first library summer puzzle, “The Magical Bookcase”. They started it on June 5 at 9:30 a.m. and it took a total of 19 days and a total of 652.5 hours to complete.  On June 29 our puzzlers began their 2nd  18,000-piece puzzle, “At the Waterhole” at 10:30 a.m.  This is not a new puzzle but a puzzle revisited.


  1. In addition to the puzzle and the Summer Reading Club, we will have a story time, Scrabble, chess, chess for beginners, and multiple Virtual Reality sessions.


  1. Now a summer tradition, the 2019 Summer Reading Club runs through Saturday, September 7. Residents read for fun and prizes and they get to select what they wish to read.  All R. H. Johnson Library print books, eBooks, CD audiobooks, and digital audiobooks qualify.  In addition to drawings for a variety of fun prizes, those who participate a minimum of eight weeks will receive a coupon for one free $1 book at the Friends of the Library Book Sale on November 16.   For more information and to register, residents should stop by the Library.


  1. Young grandchildren and their families are invited to Summer Story Time at the Library at 10:00 am on Wednesdays through July 31. All residents need is their Rec. Card and their family may enter the Library with them.  Different stories are read each week.  A kid-friendly craft project follows the stories with all  materials supplied.  Children not only get to keep their completed craft item but can also take home some fun library souvenirs such as bookmarks and stickers.


 Financial Services:

  1. We have completed reviewing our cell tower leases and determined that there are some opportunities available to us as we consider renegotiation of expiring agreements.


  1. Tim DeAngelo is collecting all FY18/19 invoices for the processing of year-end information.


  1. We will be reviewing resumes of potential candidates for the Accounting Analyst’s interviews which will take place in the next few weeks.


  1. Annual Association Audit field work begins in late July. Association filings for 401K accounts, income statement and taxes must be completed by November 15.
  1. CFO Pete Finelli will be seeking outside consultation regarding our Reserve Study. We’ve talked to our broker about the possibilities and plan to review all items on the list starting next week and have plans to begin meeting with Department Management and updating the Reserve Study on a monthly basis.



  1. In addition to their regular daily responsibilities, the Member Services Department has been busy taking new pictures of members and replacing old member cards as required by the recently approved Guest Policy. They are averaging between250 – 300 new photos per day not including Fob photos.


  1. Membership developed a Medical Guest Pass. It is the only card that will allow unaccompanied guests access to Rec. Centers facilities.  Anyone applying for the medical card is required to produce a letter from their doctor stating the reason they are unable to accompany and check in their guests and bring the letter into Member Services to apply for a Medical Guest Pass.


Events Planning:

  1. Individual tickets are available for our remaining Summer Series Program, the Dry Heat Band (8/6).  Shows are at 3 and 7 pm at Palm Ridge.


  1. Check out our Sizzling Summer Series for July and August. Tickets are now on sale!  Shows are on various dates with two shows each day, 1 p.m. and 3 p.m.  Entertainment includes Dan McCorison, With a Little Help From My Friends, Sentimental Journey and John Gamber.  Check the Box Office for dates and times.


  1. Join us for our Dive-In Movie at the R. H. Johnson Pool at dusk on Friday, July 12 which features “Aquaman”. The next Dive-In Movie, “The Meg”, is scheduled for July 26.  No tickets required for these events.


  1. Tickets are available for our Fall Fest Concerts scheduled from October 25 through October 27 (Thaddeus Rose”, “The Pettybreakers”, KansAZ”). The location for this event is Beardsley Park.  All shows are at 7 p.m.


Human Resources:

  1. We have been advised by a sound Consultant that the FCC took over the 600MHz Frequency Bandwidth and will allow T-Mobile Towers to begin using it in the near future. This will eventually affect the microphones and sound booth we use at Palm Ridge for our events which also operate on the 600 Bandwidth.  We can continue using the bandwidth for a short time but may have interference problems with our sound system, however, we will need to stop using it altogether by mid-next year.  We are ordering new digital microphones which will resolve this problem.


  1. We will be hiring a Sound Tech. for use at Stardust Theater.


Golf Operations:

  1. Golf revenue is up 6% and rounds are up 6% for the first week of July 2019 as compared to the same time last year.


  1. Starter Training is scheduled this week to cover the software changes recently made to TEI (Total E Integrated) Software.


  1. We are looking at options for new Call Center bids.


Environmental Services:

  1. Stardust Golf Course will close this Thursday, July 11th for greens aerification and will reopen on Tuesday, July 16th.


  1. Echo Mesa Bunker Project update – Staff will finish installing drainage this week along with final grading. Sand is scheduled for delivery this Thursday.


  1. Palm tree trimming has been completed at Grandview and Desert Trails Golf Courses. Stardust is scheduled for trimming this Thursday.


  1. Small Dog Park Update – Rock was put down last week. Sod will be installed tomorrow morning.  The Park is scheduled to reopen on Monday, July 29th.


  1. Aerification starts today at Johnson Lawn Bowls. All four greens will be completed by the end of the week;  two today and two on Thursday.


  1. RHJ Palm Tree Trimming Update – The Johnson complex will be completed this week along with the palms on R. H. Johnson Blvd. Palm Ridge was trimmed last month.  All palm tree trimming for the Rec. Centers should be completed by the end of July.
