Subject:          Weekly Activity Report – November 11, 2019

Facility Projects: (Karl)

1. Palm Ridge Energy LED Conservation – Interior Lighting Conversion to LED fixtures is in progress by vendor through completion. Remaining areas to complete are the Aquatics – Interior Pool Soffit, Locker Rooms, Miscellaneous Storage Areas and in the Activities Area – The New Computer Room and the New Stained-Glass Room.

2. Palm Ridge Stained Glass/Computers West Club Renovation is in progress – Electrical and Low Voltwork, Plumbing Rough and Drywall are all in progress by the vendor.

3. Kuentz Pool and Spa Liner Replacement project – The Pool portion of this project has been completed however, the remaining parts for the heater for the Kuentz Pool did not arrive until today. This will postpone the opening of the pool until Wednesday when the water gets up to temperature. The spa project and startup was completed 11/11/19.

4. The Governing Board approved the Southwest Gas Easement last week. We anticipate the work to change out the gas lines will begin in January 2020.  This work may impact activity at the Kuentz Facility during construction.

Facility Maintenance:  (Russ)

5. The remodeling of the Palm Ridge Events Office is well underway. The flooring at the Palm Ridge Events Office has been completed.  We will be starting with the trim next and painting will follow.  We expect the Events Staff to be able to move in about a week or so.

6. We are in the process of getting estimates and checking with our carrier for the tree damage that occurred at the Palm Ridge Pickleball Courts in which fencing, a guard rail and a light pole were all damaged. It did not damage the court surface itself.

Recreation:  (David)

7. We are taking another look a reconsidering the layout of the Kuentz Fitness Room to see if there may be a better way of utilizing the available space.

8. Staff will provide a head count of the Kiva West Bridge Club as per the request of the Governing Board.

9. We are taking a look at our vending machine contracts. We have two different vendors providing the same service.  We will review and make an evaluation.

10. Banner Health has asked us to help with their next holiday toy drive. We will set up collection boxes at some of our facilities as we did last year.

11. We continue to work with Waxie, our new cleaning supply vendor on the initial ordering approval process for the ordering of product. Once this is worked out to our satisfaction, we will move on to Palm Ridge to transition from old product to the new product.

Recreation Activities:  (Riley)

13. The Chartered Club Committee meeting is Tuesday of this week and the first of the semi-annual Chartered Club Officer’s Meetings are scheduled for this Wednesday and Thursday.

Village Store:

14. Our Fall Arts and Crafts Fair on Saturday, Nov. 2 had a great turnout! Those familiar with past Craft Fairs stated they thought this was the highest attendance they had seen.  Thanks to all for making this such a successful event!

15. One of the WiFi Credit card machines went down while in use at the Fair but we were able to use a cell tower credit card machine that worked for us. We will be reviewing the issue so that any problems with credit card machines are resolved before the next time we need to use them.

16. We asked the Broadcast Club to act as DJ for the Fair this weekend. They provided music as well as Public Service Announcements as needed.

Sports Pavilion:

17. For the first 24 days of October, League Play is up 10%, Open Bowling is up 13%, Bowling Revenue is up 9%, Refreshments 17% and Total Revenue is up 8% as compared to the same time period for last year.

18. There were four 300 game bowled last week.  Congratulations go out to Norm Schnabel, Pete Klecker, Joe Petrovich and Michale Barcus.  An 800 Series was bowled by Pete Kleckner.

19. The Lona King Tournament had 113 entries and the event was won by Scott Greiner from Illinois . The average score for the Tournament was 224. He defeated Brian Kretzner 220 to 215.

General Services:

20. We sent a survey out to find out what our Members thought about us merchandising items with the SCW Logo on them. Of the 250 people who responded, 220 thought it was a great idea.  Most stated they were interested in items with the SCW Logo on them for themselves, their spouses or the grandchildren.

21. The Election Committee continues working on the Governing Board Election scheduled for March 30^th of 2020. Petitions for those interested in running for the Board are available for pickup from the Governing Board Executive Assistant beginning Nov. 4, 2019.  All Petitioning Packets must be turned in no later than January 6, 2020 by 3:00 p.m.

22. The 6^th Session of TORCH takes place on Thursday, Nov. 14 at the SCW Foundation Building. This Session includes Presentations by Helping Hands, PORA, Benevilla, Sun Health Foundation, Community Fund of SCW, Northwest Valley Connect, and the Alliance of Business and Community.

23. We held interviews for a new Library Director last week and have pared the group down to those we would like to offer a second interview to.

24. The next IT Improvement Council is on Friday, 11/15/19 at 7 a.m.

25. Computer users are reminded that Microsoft Tuesday is scheduled for tomorrow and all users must be off the system by 6:00 p.m.

26. The next TEG update is scheduled after hours on Nov. 13.  Users will not be able to access the software during the update.

27. The “Splash Page” for our accessing our wifi page starts today. Wifi users will be required to acknowledge the terms and conditions by checking a box before proceeding; this will reset every 8 hours.  This new step helps ensure the Association and our users are protected when using public wifi which is an unsecured network offered free as a community service.

28. A meeting is scheduled on Thursday with the Non-Profit Share Group working with local churches.

RHJ Library:

29. Phil Dauterive will bring a group to tour the library at 9 a.m. on Tuesday, November 12.

30. During our first Chat with Local Authors, Dr. Geary Bush will be the first local author featured for this season. People may drop in at the library between 10 a.m. and noon on Tuesday, November 12 to chat with Dr. Bush, a dentist, artist and author.

31. All members of the Friends of the R. H. Johnson Library are invited to attend a meeting of the Friends of the Library Board at 9:30 a.m. on Thursday, November 14 at the library.

32. Author Michelle Griep will present “A Very Dickens Christmas” at 1:00 p.m. on Friday, November 15 in the Lecture Hall (19803 R. H. Johnson Blvd., near the Village Store). All are welcome but seating is limited.  Doors open a 12:30 p.m.  Griep, a historical author, will discuss Charles Dickens and Victorian Christmas celebrations.  There will be refreshments, giveaways, and books to purchase.

33. Just in time for the holidays, the Friends of the R. H. Johnson Library will hold a huge book sale from 8:00 a.m. to 2:00 p.m. on Saturday, November 16 in the Social Hall (19803 R. H. Johnson Blvd). As always, there will be books, DVDs and Blu-rays, audiobooks on CD  and cassettes, music CDs, jigsaw puzzles and Board games all in excellent condition and at bargain prices.

Financial Services:

34. Through the month of October financially we look very good. We are $550,000 ahead of Budget.

35. As per Capital Tracker, we have closed out $2.4 million in Capital Projects. We have 5 months to go for Capital Projects that have yet to start.

36. At the B&F Committee Meeting in December, we will be discussing the first phase of Capital Expenditures and prioritize Capital line items determining which items need to be done and which items can wait.

37. We have scheduled a Reserve Analysis at the Governing Board Work Shop in mid-January 2020.

Membership:

38. For the first week of November 2019 there were 32 APFs with 3 refunds for a total of 29 APF Fees. Total number for the month of November 2018 was 86.

39. The number of photo retakes to date for November is 114 in the GBCR and 203 in Member Services for a total of 317 so far for the month.

Events Planning:

40. Our Veteran’s Day POPS Concert on Monday, Nov. 11 at Beardsley was SOLD OUT!

41. Tickets are available for both our “Roundup Dance – 5 in the Wheel” is being held on November 15 at 7 p.m., Palm Ridge and our New Year’s Eve Dance, December 31 at 7:30 p.m. also at Palm Ridge.

42. Tickets for “Spring Fest”, March 14 through March 16 are SOLD OUT

43. Save the date 3-7-20 for our “BBQ Taste of Paradise Challenge” which is a Southwest National BBQ Competition.  To date we have 23 competitors, 5 committed sponsorships, Woodshop/Metal Club in-kind sponsors for trophies and awards.    This event takes place in the R.H. Johnson Parking Lot on March 7, 2020.  The parking lot will be blocked off beginning Thursday 3-05-19 through Sunday 03-08-19.

44. Tickets went on sale for Breakfast with Santa on Tuesday, Nov. 5. This event is scheduled for Dec. 21, 8:30 a.m. at Beardsley.

45. Tickets are available now for our Holiday Show, Uptown Angels & MacDougal Street West scheduled for Dec. 11 at Palm Ridge, 3:00 and 7:00 p.m.

Human Resources:

46. We made an offer to a candidate for the HR Clerk Position.

47. We have to be sure to use Maricopa County Posse members when utilizing them for security or traffic control at our events. Members of the private posse (SCW) cannot talk to or take direction from the Sheriff’s Dept.

Golf Operations:

48. We are up 3% in rounds and 2% in revenue for the first 10 days of November. We consider these good numbers as last year each course was closed for three weeks for overseeding and this year we changed it to four weeks to allow the golfer to drive off the path with their golf cart when we re-opened the course.

49. Year-to-Date, revenue is up 1.5% and rounds played are up 5%. We are seeing some good trends in rounds & revenue.  Weather has been a big factor and our courses are in great shape as well.

50. Our Nite Putting Event is scheduled for this Friday at Echo Mesa Golf Course. A full field of 76 players will putt 18 holes after dark.  Each team will receive a frozen turkey for playing.  Donations will be accepted for the local food bank.

51. Our Nite Golf Event is being held at Pebblebrook Golf Course on Friday December 20. Signup started at 7 a.m. on Monday.  We expect this event to sell out by mid-week.  This event can take 104 players.  It is always a good event and a lot of fun for those who play and it benefits the local Meals on Wheels Organization.

52. Folds of Honor: Donations are still being accepted today (Monday) at PB, GV, EM, DT, and DV.  All donations will be sent to the National folds of Honor Organization.  We have had a great response this year.

53. The four golf courses open on Thanksgiving Day this year will be Deer Valley, Grandview, Stardust and Trail Ridge.

Environmental Services:

54. Golf Course Maintenance Overseeding Update

• Trail Ridge, Stardust and Grandview are all on schedule and reopen on Tuesday, November 19.

• Height of cut will be lowered on the greens this week to 5/32” at Echo Mesa, Pebblebrook Desert Trails and Deer Valley.

• Our Year-to-Date water usage is as follows: We used 3,374 acre-feet.  This is 225 acre-feet less than last year for the same time period.  We are 256 acre-feet under budget which means we are 36 acre-feet of water under budget per golf course.  We have received 5.96 inches of rainfall so far . the average annual rainfall for our area is 7.36”.

55. Landscape Maintenance Overseeding Update:

• The Small Dog Park new addition opened last Friday. The first section will close today for fertilizing and reseeding and reopen on Wednesday of this week.

• Beardsley Park finished overseeding lst Friday and is scheduled to reopen on Sunday, December 12.

• The National U.S. Open Lawns Bowls Tournament finished up on Saturday. We received lots of positive comments on the conditionsof the greens.  Lawn Bowlers from across the United States along with players from Canada, Ireland and Australia participated in this year’s event.
