Sun City West Owner Members – our March Election is just around the corner, and this year’s ballot contains proposed Bylaw changes you need to be aware of before casting your votes!

The regular Governing Board Election for new Directors will be on the same ballot. Although we have four candidates for four positions, this vote is equally important as there are three three-year terms and one one-year term. Each voter may choose up to three candidates. The lowest vote-getter will receive the one-year term, so your votes determine who gets the three-year terms.

The Bylaw changes will be presented as two separate votes. Each vote includes multiple changes within the Bylaws, although most are minor changes such as renumbering and language clean up.

    • Deadline to ensure you have a valid email on file in order to vote online.
    • If not voting online, you can vote in person on Election Day.

Sign up for online and homebound voting

For the convenience of SCW Owner Members, you can vote online via email – no need to trek to the polling center or if you need to be absent from the community on Election Day. If you haven’t done so in the past, simply sign up prior to 3 p.m. Monday, March 16, by emailing your first and last name, rec card number and preferred email address to vote@suncitywest.com

Homebound Voting is also available to our Owner Members who are homebound and need assistance with voting. To request Homebound Voting, call 623-544-6120 before 3 p.m. Monday, March 16.

Two Bylaw Change Questions

Owner members will be asked on the ballot to approve two sets of Bylaw changes that the Board is recommending. One would update language about online voting to make it consistent with state law and our existing practices since we no longer use paper ballots. The other would shorten the election cycle (to begin in January rather than November), in order to simplify the process and encourage more participation. Any resulting changes to the election cycle would not take place until the 2027 election.

ABSENTEE BALLOTS and ELECTION PROCESS
Articles 03 and 04

Voting YES will approve the changes; voting NO will leave the Bylaws as currently written.

Article 03: Various changes to Bylaw Article 03 (Sections 3.09, 3.10 and 3.11) clean up outdated language about written and mailed ballots, since the Association now conducts all elections electronically, including those cast in-person on Election Day. It adds an option for telephone voting, which also is currently offered. The changes also indicate the Board will select an external, independent service provider to conduct the election. Additionally, the wording clarifies that any vote cast during early voting (including homebound, online and absentee) is considered an “absentee ballot,” which is consistent with state law.

Article 04: Various changes to Bylaw Article 04 (Sections 4.03) clean up outdated language about written and mailed ballots, specifically pertaining to Governing Board elections. These changes align proposed changes in Article 03 with the language of Article 04.

Various changes to Bylaw Article 04 (Subsections 4.2.1-4.2.2, Section 4.03, and Appendix 1), will allow the Association to shorten the election cycle, which currently begins in November and runs through March. With the changes, the new cycle would begin in January. Additionally, the proposed changes clean up outdated language relating to printed ballots, sealed ballot boxes and observing the counting of the ballots, since that now occurs electronically and is handled by the selected vendor.
